Definition of Electronic Data Interchange: EDI is the electronic exchange of business documents. Various documents, such as purchase orders, shipping notices or invoices, can be transferred digitally between the inventory management systems of two partners via an EDI interface.
How does digital document exchange via EDI work?
The transfer of documents between two ERP systems runs automatically in the background after successful setup according to the following principle. To exchange individual documents electronically, they are first created in the ERP system and the data is prepared for transfer. The data is converted and transferred using transfer protocols. The information is then transferred to the partner’s ERP system where it is validated and converted to the desired target format. Documents can be retrieved and processed in seconds and purchasing processes can be automated.
Example: Company X enters an order (so-called ORDERS) for AWI Eberlein GmbH in its own SAP system. This is converted into XML format and transmitted digitally to AWI via HTTPS. At AWI, it is converted into the target format for the company’s own ERP system using the defined mapping and processed automatically.
AWI transmits the order confirmation (so-called ORDRSP), despatch advice (so-called DESADV) and/or invoice (so-called INVOIC) to company X according to the same principle.
